# Invoicing
Create invoices, generate PDFs, track payments, and manage accounts receivable. Generate from quotes automatically or create manually.
## Creating Invoices
From project: **Invoices** tab → **"New Invoice"**
From dashboard: **Invoicing** → **"New Invoice"** → Select project
**Invoice Number:** Unique identifier (e.g., INV-001, 2024-001).
**Date:** Invoice date. Due date defaults to 30 days.
**Project:** Links to customer info and billing address.
**Tax Toggle:** Enable to apply company tax rate (set in settings). Disable for tax-exempt.
**Note:** Optional message (payment instructions, terms, thank you).
## Line Items
**Manual Entry:** Click **"Add Item"** → Enter name, price, quantity.
**From Quote:** Click **"Generate from Quote"** to auto-populate panels, inverters, equipment, and installation costs.
**Fields:**
- **Name:** Product/service description
- **Price:** Per-unit cost
- **Quantity:** Number of units
- **Total:** Price × Quantity (auto-calculated)
- **Order Number:** Display sequence (can reorder)
Edit or delete items anytime. Totals update automatically.
## Generating from Quotes
Click **"Generate from Quote"** to auto-populate line items: panels, inverters, equipment, installation cost, plus auto-calculated items (cable, racking). Review and adjust as needed.
## Payment Tracking
**Unpaid (default):** Outstanding. Red indicator.
**Paid:** Check "Paid" toggle. Green indicator. Creates system note.
**Partial Payments:** Enter amount received. Shows on PDF. Remains "unpaid" until fully paid. Update amount as more payments received.
## Invoice PDF
Click **"View PDF"** to generate. Includes:
- Company branding and logo
- Invoice number, date, due date, payment status
- Billing info (your company and customer)
- Itemized table (name, price, quantity, total)
- Subtotal, tax, and total
- Payment terms and contact details
Download or print from browser.
## Email Invoices
Click **"Send Invoice"** → Customize subject and body → **"Send"**. Email includes PDF attachment with your branding. Status marked "Sent" and system note created.
## Invoice Management
Filter by status (paid/unpaid), date, or amount. Sort by date, total, invoice number, or project. Search by project, customer, or invoice number.
## Analytics
View total invoices, total value, paid vs unpaid, outstanding balance. Filter by date range.
## Best Practices
Verify customer details and pricing. Send promptly after installation. Track due dates and follow up professionally. Maintain consistent numbering and records for tax compliance.
## Project Integration
Invoices appear in project **Invoices** tab. System automatically logs invoice created, sent, payment status changes, and partial payments.
## Troubleshooting
**Can't create?** Check project exists, unique invoice number, and required fields.
**Tax not calculating?** Verify tax toggle enabled and company tax rate set.
**PDF won't generate?** Ensure invoice saved and all fields complete.
**Email not sending?** Verify customer email and invoice saved.
