# Tasks Create tasks for projects or team members, assign to users, set due dates, schedule email reminders, and track completion. ## Task Types **Project Tasks:** Customer-specific actions linked to projects (e.g., "Call John Smith about site visit"). Show in project tasks tab and timeline. **User Tasks:** Personal to-dos or general team assignments not tied to projects (e.g., "Update equipment pricing"). Show in user's task list. ## Creating Tasks From project: Open project → **Tasks** tab → **"New Task"**. Automatically links to project. From dashboard: **Tasks** → **"New Task"** → Choose type → Fill details. Title is required. Add details, assignment, and reminders later if needed. ## Task Fields **Title** (required): Clear, specific action (e.g., "Call Jane Doe to schedule site visit"). **Description** (optional): Context, requirements, and customer preferences. **Due Date** (optional): Select from calendar. Enables priority sorting and overdue tracking. **Assigned User:** Assign to team member, yourself, or leave unassigned. Assignee gets notified. **Completion:** Check checkbox to mark complete. Removes from active list, stays in history. ## Reminders Set date and time for email reminders. Assigned user automatically included. Add additional recipients (comma/line-separated emails). Toggle "Include Project Email" to notify customer. Email contains task title, description, due date, project info, and links. Sent once at scheduled time (timezone aware). Completing task cancels reminder. ## Task Management View tasks via **CRM** → **Tasks**, project tasks tab, or user dashboard. Filter by assignee, completion, project, or due date. Sort by due date, created date, priority, assignee, or completion status. List shows title, due date, assignee, project, and completion checkbox with quick actions (complete, edit, reassign, delete). ## Notifications **In-App:** Task assignments, due dates, overdue, completion. **Email:** Task assigned, reminder scheduled, due date, overdue, completion. Set email frequency in user preferences (immediate, daily digest, weekly). ## Best Practices Be specific with titles. Set due dates. Assign one owner per task. Review daily, update regularly.
